records retention and disposal schedules
Without a systematic approach to the keeping and disposal of records, an organisation is in danger of creating information chaos through information overload, and exposing itself to risk from:
- The loss of important records
- Litigation costs from non compliance with laws and regulations
Having identified and appraised the records held in an organisation for their legal or business value it is essential that appropriate retention periods are agreed and applied.
The application of retention schedules enable the life cycle management of paper and electronic records, and help an organisation to identify and protect its intellectual property.
TFPL has a tried and tested process and tools for the development and implementation of retention schedules and a disposal process. We have extensive knowledge of the legal and regulatory requirements governing corporate records as well as an understanding of business criteria governing record retention periods.
Only a small percentage of an organisation’s records are subject to specific retention periods set by law. At TFPL our process of drawing up a retention schedule takes account of the:
- Business drivers motivating the organisation
- Interests of key stakeholders including customers, clients, staff, partner organisations, and citizens
- Legal and regulatory requirements
- Relevance of the information to future projects and decisions
Drawing up a retention schedule is only one step towards applying retention control. The schedule itself needs to be simple enough for people to understand and apply. A disposal process must provide owners of records with the ultimate control over their records in order to build their trust and thereby get their buy in to the process.
