About the company

A London based, higher education client has a requirement for an Assistant Librarian to help facilitate and maintain consistent high standards to all students and faculty. This is initially a temporary position with a view to being made permanent.

What you’ll be doing

Managing and maintaining Blackboard Virtual Learning Environment

  • Uploading syllabi in a timely fashion on a semester basis
  • Uploading and processing course readings through the CLA Digital Content Store to maintain copyright compliance on Blackboard. While the Librarian is the license holder, the Assistant Librarian is the essential team member who looks after the DCS, generates content links and maintains course data records
  • Aiding and advising faculty in how to better manage their own course pages
  • Helping to identify module seminar readings for digitisation; provide deep links for content indicated on reading lists available through the BU digital resources
  • Assisting students and faculty with literature searches using databases, printed resources and the internet

Stock Management

  • Assisting with all library house-keeping routines, issue and return of books, reservations, overdues, shelving and tidying etc
  • Ordering and researching new resources for all subjects, to include book stock, periodicals, and liaising with suppliers as necessary
  • Assisting the Librarian in administering the Library budget, including, purchasing books, electronic resources, periodicals and passing invoices for payment and updating the Expenditure spreadsheet
  • Regular updating of the Set Text Key in the Vault, and overseeing the organisation of the physical Set Text book stock in the Vault
  • Using subject and institutional knowledge to withdraw books from the collection as needed (covering all collections)
  • Liaise with AnyBook service to schedule collections of withdrawn book stock as necessary, and inform Librarian and SAO of the collection dates and times
  • Ordering programmes on the BUFVC TRILT service for Faculty use, and uploading files to the film drive to ensure their availability on Kodi
  • Creating and maintaining shelf labels within the collection

Library Management System

  • Assisting as necessary with the cataloguing and processing of new book, DVD and periodical stock according to MARC21 standards using Alma library management system
  • Contributing to the maintenance of the current library catalogue, the cataloguing of new materials and collections not yet on the catalogue


  • Deputising in the absence of the Librarian in matters relating to supervising part time staff, including student workers, organising staff cover of the library, liaising with the Student Affairs Office and Deputy Director & Associate Director for Academic Affairs
  • Training and supervision of student workers (London Programme Assistants)
  • Working regular evening shifts, and occasional weekends. 

Queries and Resources

  • Provide guidance and support to library users or identified student groups concerning enquiries related to researching on the Library resources.  This may include delivering information and digital literacy sessions to students within a classroom setting per Faculty request, or one to one with students and Faculty
  • Participating in staff training and development in order to keep abreast of new developments, particularly in respect of e-learning and copyright
  • Participation as and when required with Student Enrolments
  • Supervising student and staff use of the photocopying and printing facilities including receipt of monies when applicable
  • Assisting with updating the Writing Assistance Centre’s appointment schedule; booking Writing Assistance appointments for students (through e-mail, phone and in person)

Building specific duties

  • Providing basic maintenance of the Library’s PCs, photocopiers and printers, and ensuring adequate supplies of toner and paper
  • Prime responsibility for opening/closing the building as required, checking the building is safe and secure according to procedure and setting the building alarm.

  • Classification (preferably LOC) and cataloguing experience
